Create Intake

Introduction

The Intake Create step is the final step in the Prebook workflow. Upon completion of this step, the person is recorded as in the custody of the receiving facility and agency processing continues in the Intake workflow. Elapsed time in custody is calculated based on the completion date/time of this step.

If the person has not been processed into this agency previously, a unique Inmate Number is also generated at the conclusion of this step.

Create Intake

To complete Prebook and create an Intake record:

  1. From the Prebook Detail page, click Start next to Ready for Intake in the Prebook Tasks list.

    OR

    From the Prebook Queue, click the Action Menu (Action Menu) and select Create Intake.

    Intake Create is only available after all other Prebook steps are complete.

    The Intake Entry page displays with the identity and arrest information entered during creation of the Prebook record.

  2. Complete and review the information, as needed. Not all information is editable.

    • Facility drop-down defaults to the facility configured as the default in Workstation Settings. This field is required by the system.

    • Receiving Officer populates with the information for the current user (if personnel record is set as a Receiving Officer). Field allows for search and selection of a different officer. This field is required by the system.

    • Arresting Officer populates with the officer selected during the creation of the Prebook record. Field allows for search and selection of a different officer. This field is required by the system.

    • (Arresting Officer) Contact Number populates with the information (if any) entered during the creation of the Prebook record. This field can be set to required/visible/hidden based on agency requirements.

    • Transporting Officer allows selection of a personnel record to indicate who brought the person to the facility. This field can be set to required/visible/hidden based on agency requirements.

    • Search Officer allows selection of a personnel record to indicate who searched the inmate upon acceptance into the facility. This field can be set to required/visible/hidden based on agency requirements.

    • Receive Method values are agency-defined. This field can be set to required/visible/hidden based on agency requirements.

  3. Select the Book and Release check box to indicate that the person will be released after facility processing is complete. If selected, the person will be processed through the agency-defined Book and Release workflow rather than the Intake/Booking workflows.

  4. Select the Expedite check box to indicate that this person should be flagged as a priority for processing through the workflows. When selected, Expedite Reason and Note fields display. Expedite Reasons are agency-defined.

    The person will then display at the top of the workflow queues and an indicator (!) will display in the Expedite column.

When the Intake Entry step is completed, the first step in the Intake workflow displays.

The record has completed the Prebook workflow and is now available for Intake Workflow processing from the Intake Queue.
