Introduction

The Case Sentence page is where sentence information is viewed and entered; and if applicable, the sentence is calculated for the case and for the overall incarceration. The page includes a summary of overall sentence information and details of the sentence for the selected case. It is an application page and can be used as a step in a workflow.

Case Sentence

Enter New Case Sentence

To enter new sentencing information for a case:

  1. Click Edit Sentence. The Case Sentence section opens to display additional case sentencing fields.

  2. Select a Conviction Status. Conviction Status values can be configured to default the Sentence Disposition value. For example, a Conviction Status value of Sentenced to County Jail can be configured to default/update the Sentence Disposition to Sentenced.

  3. Select or enter a Conviction Date.

    This field may be required or not required based on the agency's configuration.

  4. (optional) Enter a Conviction status note.

  5. Select a Sentence Disposition. The default value is Unsentenced unless it was updated based on the Conviction Status selection. The selected disposition determines the fields available for entering sentencing information.

    • Unsentenced: No additional fields

    • Sentenced or Alternative Sentence: Sentencing calculation and method fields

      When entering information for alternative corrections participants, use Alternative Sentence for work/site-related programs and Sentenced for programs that do not require site attendance.

    • Hold: Hold type and transport options

Enter Sentence Data from Courts

Begin sentencing using the fields in the Sentence calculation data provided by courts section on the left side of the page. Depending on the agency and the court, this information may be entered from paperwork received from the court, gathered from a court-provided (unintegrated) electronic source, pre-populated from a data integration between the court system and JMS, or a combination of these sources.

Case Sentence Details

  1. Select the Concurrent or Consecutive radio button to indicate the case sentence relationship to other cases in the booking (if any).

    • The default is Concurrent and that value is also used when there is a single case in a booking.

    • If Consecutive is selected, the associated drop-down is enabled and the other cases in the booking are available for selection.

  2. Select or enter the Sentencing Start date.

  3. Select the duration unit of the sentence. Default is Days.

  4. Enter the duration value of the sentence.

  5. After completion of the required fields, complete any of the additional fields needed to complete the sentencing definition.

    1. Fine

      Allows calculation or manual entry of days. This will be added to the Duration when determining Days to Serve (DTS).

      1. To calculate Fine Days, click Calculate Fine. The Fine Days Entry window opens.

      2. Enter the amount of the fine in Sentence fine amount.

      3. Enter the amount of the fine the inmate has paid in Sentence fine paid.

      4. Select the agency-defined Sentence Type for fines. This populates Fine Daily Rate which is the value used to equal a sentence day (e.g. $125 = 1 day).

      5. Click Calculate. The system calculates:

        • Total Fine to Serve (Fine Amount - Fine Paid)

        • Fine Days (Total Fine to Serve / Fine Rate)

          Fine Days rounds down (e.g. $575 / $125 = 4.6 is rounded to 4 days.

      6. Click Use Days to apply the calculated Fine days to the sentence and close the Fine Days Entry window.

    2. (DS) Days Stayed

      Allows selection of a unit and value. This will be subtracted from the Duration when determining Days to Serve (DTS).

    3. (CS) Credit Served

      Allows calculation or manual entry of days. This will be subtracted from the Duration when determining Days to Serve (DTS).

      1. To calculate Served days based on Booking Date, click CS Calculator. The Credit Served Calculator window opens and calculates the days between the Booking Date and the case Sentence Start date.

      2. With the check box next to Days selected, click the check box next to a case in the All other cases section to view the Credit Served days for that case that overlap with the active case CS days.

        Clear the check box next to Days selected and click the check box next to a case in the All other cases section to view the Credit Served days for the case.

        Selecting check boxes for other cases will recalculate Days and Overlap based on the dates for all selected cases (Active or Other).

      3. Click Use Days to apply the calculated Total Days to the sentence and close the Fine Days Entry window.

    4. (CSO) Credit Served Other-GT-WT

      Allows manual entry of days. This will be subtracted from the Duration when determining Days to Serve (DTS).

    5. (FW) Forthwith

      Setting that determines if the sentence start date is counted as a day served (Yes) or if the next full day is used (No). Default can be configured by the agency.

Calculate Sentence and Credits

Continue sentencing using the fields in the Sentence calculation and agency credits section in the middle of the page. The values entered in the court data section display in the left half of this section.

  1. Select a Sentence Method. Available methods are agency-specific. An agency can have as many methods as needed. The underlying logic is configured in the Admin module.

  2. Click Calculate. The system performs calculations based on the selected method and refreshes the page to display the calculated Days to Serve (DTS), Actual Days to Serve (ADTS), Sentence Scheduled Clear Date, and values for any of the other sentencing data calculated by the system. For example, if Good Time is a calculated the (GT) Good Time field is populated.

  3. Review the fields in the right side of the section. Fields may be calculated only or manually entered/updated depending on the agency configuration.

    Use Start Date Date that will be used to begin the sentence calculation. This can be the entered Sentence Start date, or could be adjusted by the system based on the dates for a case sentence to which this case sentence is Consecutive.
    (DTS) Days to Serve Calculated from the Duration and other values provided in the court data section (no editable)
    (GT) Good Time Calculated or entered value. Calculation and editable setting based on sentence method definition. These days are subtracted from Days to Serve (DTS) when determining Actual Days to Serve (ADTS).
    (DISC) Disciplinary Derived from discipinary days applied as the result of Incidents. These days are added to Days to Serve (DTS) when determining Actual Days to Serve (ADTS).
    (WT) Work Time Calculated or entered value. Calculation and editable setting based on sentence method definition. These days are subtracted from Days to Serve (DTS) when determining Actual Days to Serve (ADTS).
    (Stop) Disciplinary Calculated value representing the number of days Work Time credits are stopped (not applied) for disciplinary reasons. These days are added to Days to Serve (DTS) when determining Actual Days to Serve (ADTS).
    ERC (Early Release Credit) Calculated or manually entered value. Calculation is defined in the sentence method definition. These days are subtracted from Days to Serve (DTS) when determining Actual Days to Serve (ADTS).
    AD (Adjustment) Manual entry of days to be added or subtracted from Days to Serve (DTS) when determining Actual Days to Serve (ADTS). Can be used for any adjustment required to accommodate agency or court policy. Include a minus sign (-) in the entry to subtract days.
    (ADTS) Actual Days to Serve Calculated sentence days after all credits and debits have been applied.
    Sentence Scheduled Clear Date Calculated date upon which the person will have served the sentence for this case.
  4. Adjust any values, if needed and click Calculate.

  5. Select sentencing flags in the Apply Sentencing Flags section.

Enter Manual Sentence

To enter manual sentencing data rather than calculating a sentence, in the Sentence calculation and agency credits section:

  1. Select a Sentence Method. Sentence Methods can be configured as manual sentencing methods. Selecting one of these methods automatically selects the Manual Entry radio button.

  2. Select the Manual Entry radio button (if not selected based on method). (ADTS) Actual Days to Serve and Sentence Scheduled Clear Date fields are now editable.

  3. Enter a numeric value for ADTS.

  4. Enter or select the Sentence Scheduled Clear Date.

    Days and Date are not validated against each other when manually entered.

Enter Additional Data from Courts

Enter additional sentencing information provided by the court in the Additional Sentence data provided by courts section. Data in this section does not affect the calculated sentence.

  1. Enter or select a date in the Given field to indicate when the sentence was provided.

  2. Select the Sentence Type.

  3. Select a Finding to document the verdict from the court.

  4. Search for and select the Judge associated with the sentence.

  5. Click Save. The system determines if all cases in the Booking have been cleared or sentenced and displays a Set Overall Sentence window.

    • If the overall release date can be calculated, click Save to close the window and save the date.

    • If the overall release date cannot be calculated, click Save to close the window.

    • To manually set an overall date, select the Manual Overall Sentence Entry radio button and manually define the Overall Sentence Start and Overall Schedule Release dates.
